Department Action

At the request of the Purchasing Department, Information Technology is requesting Commissioner Court to authorize the renewal of the current maintenance contract with Election Systems & Software, LLC for elections software and hardware support with reductions to the ExpressVote software and supporting items. The FY25 renewal is budgeted as part of the non-departmental budget request. The cost of this part of the renewal is $210,328.76. Additionally, there will be an addition of Ballot on Demand items to purchase software, implementation, and equipment installation in the amount of $357,200.00

Annual post-warranty software license and maintenance and support fees will be $73,500 per year after the initial year.

Purchasing Department Action

Request Commissioners Court consideration and any action regarding approval of Amendment 10 to contract 2018-241, Election Voting System & Services with Election System and Software, LLC to: 1.) Renew for the period of July 01, 2025 through June 30, 2026 with updated quantities and pricing per the attached documents, 2.) Add Ballot on Demand Software and Services per the attached documents, 3.) Modify items and updates to Exhibit C; and 4.) authorize Purchasing Agent to execute same. FY25 expenditures to date are $502,519.27. FY24 expenditures were $1,731,887.86. GS
